12 Tools You Need to Launch a Virtual Summit

In my post, "How to Launch a Virtual Summit", I share my entire 12-step process for launching your own virtual summit from scratch in 90 days.

A virtual summit is an online conference. A host brings together experts for interviews which are broadcast for a certain period of time online for attendees to watch and learn from.

I also briefly mention in that post some of the technology that you will need to create your summit, like a webcam, microphone, and more.

Here I would like to dive deeper into that list of hardware and software that you will need to create a successful summit, including offering specific suggestions for companies and brands that I use when creating my own summits.

#1: Webcam

You'll need to have a webcam to record interviews with influencers. While most laptops have webcams built in, their quality is often low. I recommend purchasing an external webcam like the Logitech C920 1080p model. It is a USB webcam that works on all computers, and it really picks up great picture, even in low lighting.

#2: Microphone

Aside from needing good video to keep your attendees engaged during the guest speakers' interviews, another area in which you do not want to disappoint is audio. How can your students learn if they can't understand what you and your guest speakers are saying? Make sure to upgrade your microphone from those in your laptop or webcam. I recommend the Blue Yeti microphone. It plugs into your computer with a USB, is easy to use, and is loved by many virtual summit creators I know.

#3: Video Recording Software

You will need a software that allows you to see, hear and interview your guest speakers over the web - and also record that interview so you can broadcast it during your virtual summit at a later time. Trying to record a Skype interview with video somehow never comes out right in most cases. That's why I recommend Zoom, a web-based video conference program which is free for up to 2 attendees in a single session.

#4: Video Editing Software

If you have any kind of video-editing software, that's really what you'll need to take your raw recorded content and shape it up for your virtual summit. If you don't have any, I recommend Camtasia. It's by far the most popular and user-friendly software out there. It also has the ability to record your screen, add callouts, and more, so it's the perfect video editor if you also create online courses.

#5: Landing Page Software

You will need a platform online where you broadcast the interviews during the summit on custom landing pages. Opt for a platform that gives you the ability to host your virtual summit at your own custom domain and, ideally, can also function as your sales funnel as well. Personally, I run my entire infopreneur business and my virtual summits using my favorite all-in-one business solution software, ClickFunnels.

#6: Video Host

Vimeo is a video host which I use to host my guest speaker interview videos, which I then embed into my Clickfunnels landing pages. It's possible to use YouTube with Clickfunnels as well, but I love the added control and more professional look and feel of Vimeo-hosted videos. For example, you can remove the Vimeo logo from hosted videos when you embed them somewhere.

#7: Email Autoresponder

As you prepare to launch your virtual summit, you'll start promoting it and encouraging people to register as attendees. You'll need an email autoresponder that works with the sales funnel software you are using to send automatic emails to registrants confirming their registration and sending them instructions throughout the summit. You may already be using an email autoresponder in your business, like ConvertKit, Mailchimp or Aweber, which you can use for your virtual summit. If you have decided to use the ClickFunnels "Platinum" package to host your virtual summit, you can easily use their built-in email autoresponder system which is called "Follow-Up Funnels".

#8: Graphic Design Software

If you have and know how to use any graphic design software like Photoshop, then you'll want to use that to create any and all of the images you'll need to promote your virtual summit on social media. For the rest of us, thankfully there is Canva, an easy, no-prior-knowledge-needed online tool for graphic design.

#9: Sales Funnel Software

When attendees for your summit register for their free ticket, they will need to be taken through a sales funnel process by which they are pitched the All-Access Pass you are selling, can purchase it and can have their purchase confirmed. Not surprisingly, my favorite software for accomplishing this is ClickFunnels, but there are alternatives.

#10: Payment Processor

You will need a payment processor that integrates with your sales funnel software to collect payments from those who purchase your All-Access Pass. Stripe integrates with so many online sales platforms today, including Clickfunnels.

#11: Affiliate Sales Tracking Software

To encourage your guest speakers to share your event and promote it to their audiences, you will want to offer them a commission on each one of their sales of the All-Access Pass. To do this, you will need to track their referrals through an affiliate software system. ClickFunnels has a built-in affiliate tracking system called "Backpack", which is another reasons I use and recommend it.

#12: Membership Site

Lastly, you will need a place online where you can host your All-Access Pass membership site. If you are a regular user of the ClickFunnels "Platinum" package in your business, you may choose to host your membership site there, as I do. However, if you only wanted to pay to use Clickfunnels for the creation and execution of your summit, you may save money by choosing to host it elsewhere. An online course host like Teachable or Thinkific may be an ideal place for your membership site. Or, you might choose to use a Wordpress plugin like Wishlist Member if you use Wordpress to host your business' website.
